We collect personal information that you voluntarily provide to us when you create an account, complete your application, or interact with our platform, including:

  • Resume, work history, and educational background;
  • Video interview recordings and transcripts;
  • Employer billing or payment details (processed via Stripe);
  • Banking details for referral commissions (processed separately by Gradus).

Automatically Collected Information

When you use our website or portal, we automatically collect certain technical and usage information, such as:

  • IP address and geolocation (approximate region);
  • Browser type, version, and device identifiers;
  • Date, time, and duration of sessions;
  • Platform usage data and analytics;

We use this data to operate, secure, and improve our Service.


2. How We Use Your Information

We use collected information to:

  • Operate, maintain, and improve the Gradus platform;
  • Process student applications and facilitate employer searches;
  • Create anonymised candidate profiles and generate AI-assisted insights;
  • Provide employers with bias-minimised candidate search results;
  • Process payments for employers securely through Stripe;
  • Process referral commissions via bank transfer;
  • Communicate updates, service announcements, and account notifications;
  • Provide customer support and respond to inquiries;
  • Conduct analytics to enhance user experience and platform performance;
  • Detect, prevent, and address misuse or technical issues;
  • Comply with legal obligations and enforce our Terms of Service.

Gradus does not make hiring decisions. We only facilitate discovery between candidates and employers.


3. Anonymisation and AI Processing

Gradus uses artificial intelligence to generate interview questions, analyse responses, and standardise profiles through our Candidate Categorisation Matrix (CCM). All personally identifiable information (PII), including names, gender, and photos, is removed before employer searches occur. Employers only see anonymised profiles until they unlock a candidate.

Video recordings and transcripts are processed securely and stored in accordance with industry standards.


4. Sharing Your Information

We may share your information in the following limited circumstances:

  • With Employers: Only anonymised profiles are visible by default. Personally identifiable information (e.g., name, video, contact details) is disclosed only when an employer unlocks your profile.
  • With Service Providers: With trusted third-party vendors (e.g., Stripe for payments, hosting and analytics providers) who assist us in operating our Service under strict confidentiality agreements.
  • For Legal Compliance: When required by law, regulation, or court order.
  • Business Transfers: If Gradus undergoes a merger, acquisition, or sale of assets, user data may be transferred as part of that process.

Gradus does not sell or rent your personal information to third parties.


5. Data Security

We implement appropriate technical and organisational measures to protect your personal information from unauthorised access, alteration, disclosure, or destruction. These include encryption, access controls, and secure cloud infrastructure hosted in reputable Australian or international data centres.

However, no method of transmission or storage is completely secure. While we strive to protect your data, we cannot guarantee absolute security.


6. Cookies and Tracking Technologies

7. Data Retention

We retain personal information only for as long as necessary to fulfil the purposes outlined in this Policy or to comply with legal obligations.

  • Student data: retained for up to 24 months following the end of the intake year unless deleted earlier by the user.
  • Employer data: retained while your account remains active and for audit/compliance thereafter.
  • Referral and payment records: retained as required by Australian tax law.

When information is no longer required, it is securely deleted or anonymised.


8. Your Privacy Rights (Australia)

Under the Australian Privacy Principles, you have the right to:

  • Access your personal information;
  • Correct inaccurate or incomplete data;
  • Request deletion (subject to legal retention obligations);
  • Withdraw consent to non-essential processing;
  • Request that your anonymised data not be included in future analytics;
  • Lodge a complaint with the Office of the Australian Information Commissioner (OAIC) if you believe your privacy rights have been breached.

9. Children's Privacy

Gradus is intended for users aged 16 and over. We do not knowingly collect or store personal data from anyone under 16. If we discover that a minor's data has been collected without consent, it will be deleted promptly.

Gradus' servers and service providers may be located in Australia and other jurisdictions (such as Singapore, the United States, or the European Union). Where data is transferred outside Australia, we ensure appropriate safeguards (such as contractual data protection clauses) are in place to maintain compliance with the APPs.
